To Establish an Account

Heron Botanicals sells its products at wholesale prices to qualified practitioners only. To establish a practitioner or clinic account, please submit (via email or fax) an account establishment form (linked below) , along with a copy of the practitioner’s credentials and a completed order form. Accounts established in the state of Washington are also required to submit a copy of their current Washington State Reseller Permit.

Herbalists who have not graduated from an accredited program of naturopathy, TCM, or herbal studies must submit a summary of their education, and/or clinical experience in traditional Chinese and/or western herbalism.

Placing an Order

Orders are accepted via fax, email, or phone. There is no minimum order. Orders under $75, however, are assessed a $9.00 handling fee. When placing an order, please include the following:

- Contact information for this order

        - Practitioner name

        - Clinic name

        - Latin herb names, product numbers , quantities, and sizes*

        - Drop-shipping and dosage instructions (if applicable)

        - Confirmation of billing information

        - Confirmation of shipping address

        - Desired shipping method**

Product Availability and Substitutions

As previously mentioned, our products are made primarily from fresh, live plant material, harvested by hand at the peak of their medicinal maturation. As such, product availability isn’t guaranteed, and is seasonally dependent. We appreciate your patience and understanding when our seasonal components are unavailable.

Whenever possible, we supply fresh-plant medicine, made with the species noted in our product listing. Occasionally, however, we will substitute an alternative, made from the dried herb, or from an alternative species. Any such substitution has been tested and approved to assure that standards of identity, quality, potency and purity have been met.

If no extract type is specified, Heron will pour tinctures by default.

Low-Dose Botanicals

Practitioners who wish to order low-dose botanicals must be approved on the basis of their training and knowledge regarding the safe use of potentially toxic herbs. They must sign a waiver of liability, and agree to terms of safe storage. Approval of requests to purchase such herbs is granted solely at the discretion of Heron Botanicals. Contact Heron to request an application for low-dose approval. We reserve the right to refuse sale of any herb at any time to any customer for any reason. Please help us maintain the availability of all herbal medicines by practicing responsibly and safely.

Shipping

Continental US

We partner with UPS to ship orders within the continental US. Customers pay for the UPS shipping method of their choice on orders below $250. Free ground shipping is offered on all orders of $250 or more. If another shipping method is requested, Heron Botanicals will grant a shipping rebate of 5% of the total invoice. Alternate UPS shipping options include:

UPS will not ship to a US Post Office box. Orders within the continental US destined for PO boxes will be shipped via USPS, and will be subject to the same shipping policies as orders to Alaska and Hawaii.

Alaska and Hawaii

All orders to Alaska and Hawaii are shipped via US Postal Service, Priority Mail. Shipping charges are paid by the customer on orders of less than $250. For orders of $250 or more, Heron pays a shipping rebate of 5% of the total invoiced product charges. 

Canada

The same shipping policies apply as for orders to Alaska and Hawaii. The customer is responsible for all customs or return shipment charges. Payment must be in US funds.

Damaged Shipments

Damage sustained during transit should be reported immediately to UPS (or other shipper) and Heron Botanicals. File a claim, and save all original packaging, all box contents, and all original paperwork. We cannot accept responsibility for damage caused by any shipper.

Recent Graduate Discount

New practitioners in the process of establishing their own practices are welcome to take advantage of 10% off every order during their first year of business with Heron Botanicals. To qualify for this discount, the new practitioner must be professionally unaffiliated with existing account holders, and have graduated from their program of study within 2 years of new account establishment. Please remind us of your “recent graduate” status when placing your order. 

Recent graduates are also welcome to apply a one-time discount of 25% to any one order (of $250 or more) within their first year of business with Heron Botanicals. Usual volume-based discounts may not be applied in conjunction with this one-time offer.

New Customer Discount

Customers new to Heron Botanicals are welcome to apply a one-time discount of 25% to any one order (of $250 or more) within in their first year of business with us. Usual volume-based discounts may not be applied in conjunction with this one-time offer.

 Student Discount

Student orders receive a discount of 10%, whether ordered directly from Heron, or through a student representative at their qualified institution. See “Student Orders” for further information.

Fees

Formulation Fee

There is a $10 formulation fee assessed per formula (liquid extract or cream) regardless of the size or quantity ordered.

 Custom Formulation Fee

We apply a one-time $15 fee for the establishment of a custom formulation (liquid extract or cream), regardless of the size or quantity ordered. Once a custom formula is established, the usual $10 formulation fee will apply to each order for the custom formulation.

 Handling Fee

While Heron observes no minimum order policy, any order under $75 will be assessed a $9.00 handling fee, separate from applicable shipping charges.

Payment Terms

Initial terms are prepayment only, by Visa, Mastercard, or American Express. After 1 year, customers may apply for net 15 terms. Please ask for an application if you are interested. Long-term customers may apply for net 30 terms. A finance charge of 1.5% per month will be added to invoices more than 30 days overdue. If any invoice goes unpaid for more than 120 days, the account may be sent to collections and terms will automatically revert to prepayment. We reserve the right to alter your terms at any time with notification. Returned checks incur a charge of $20 and will automatically cause terms to revert to prepayment. 

Errors and Returns

Heron will accept returns only if tamper-evident seals are intact, within 14 days of sale, or in cases of obvious negligence on our part. All returns are subject to approval; call Heron Botanicals for authorization to return unused product. There are no returns of custom formulas for any reason other than Heron Botanicals’ error.

Errors on our part are cheerfully rectified if they are reported within 7 days of receipt. If the return is a result of our processing error, a refund may be issued at the customer’s request, and Heron will assume responsibility for return shipping charges.

When returning an item for any reason other than Heron Botanicals’ error, however, the customer pays for return shipping, in addition to a 20% restocking fee, and no refunds are allowed, only credit for future purchases.

 Student Orders and Representatives

Students of natural medicine disciplines (including, but not limited to, naturopathic medicine and clinical herbalism) may order Heron Botanicals products. A discount of 10% is applied to all student orders, and students may order 1-oz samples of single-herb extracts, and 4-oz formulas (whereas practitioners must order a minimum 4 and 8 oz, respectively).

 If the student’s program is serviced by a representative of our company, all orders must be placed through the representative. Student orders will be shipped to the representative and then distributed to students, free of handling or shipping charges.  For students of programs without a student representative, send proof of registration and an account will be opened for you. Regular shipping and handling charges apply. Orders from practicing customers will take precedence over student orders.

 Support for Naturopathic Licensing Efforts

Currently, Heron Botanicals donates 5% of all orders placed within AK, CO, MA, MN, and MT, to their respective chapters of the American Association of Naturopathic Physicians. AANP members practicing in states without the benefit of ND licensure are encouraged to contact us for more details.
